Location: Prettybird, 4th Floor, 25 Store Street, London, WC1E 7BL

Working Hours: 9:30-18:00 Mon-Fri.

Reporting to: Managing Director & Director of Production.

Start date: October/November 2025

Looking for an enthusiastic individual with an appreciation for film craft and other facets relating to the advertising industry. The applicant will ideally have an understanding of the commercial world and is keen to work in a fast-paced environment to help support the company and it’s teams.

We are looking for an Office Coordinator who can grow in their responsibilities of support for our business, our Senior Management, and who enjoy giving excellent service to staff and visitors, as well as productions.

Additional day to day responsibilities:

  • Supporting the day to day running and maintenance and operations of the office, answering phones, welcoming guests, receiving and sending mail.
  • Liaising with external vendors and building management for maintenance, cleaning, and deliveries. Responsible for keys and security. Helping to manage to offset storage units and work with the IT suppliers to coordinate necessary requirements around the office.
  • Maintaining a productive office environment, acting as a key administrative support to all departments and staff members. Facilitating seamless communication between the departments and manage workflow by creating efficient systems within the office as well as on productions where necessary.
  • Provide additional creative, personal and professional administrative duties such as managing diaries for the Managing Director, booking appointments and meetings, filing, archiving, scanning, photocopying, typing letters, meeting minutes and reports.
  • Assisting in reconciliations of staff & production expenses, taxi, courier, and credit card logs
  • Assisting in coordinating travel and flight bookings, hotels, rental cars, transfers and local recommendations for staff travelling, directors and visitors to the office / UK.
  • Assist production as needed with conference calls, crew and vendor holds for productions
  • Overseeing the logs of hard drives, and transportation of rushes before and after each job.
  • Oversee and help manage the awards submissions and festivals, to maintain a strong reputation of the company and it’s PR
  • Logging of company’’s internal database of resources, contacts, crew.
  • Oversee the logging and internal as well as external reports of the company’s diversity stats, to ensure there’s continual progress.
  • Support in the monitoring and improvement of the environmental and social impact that productions have.
  • Assist in research and creative support for pitches.
  • An interest in researching and following the advertising industry’s successful campaigns and who is who making the most inspiring work.

Essential skills and responsibilities:

  • Excellent written and oral communication skills
  • Managing multiple tasks and maintain efficient office systems.
  • To identify and address issues before they impact operations
  • Managing schedules, supplies, and administrative tasks accurately.
  • Enthusiastic, trustworthy and reliable. Good timekeeping.
  • To provide support to all staff members and ensure a positive office environment.
  • Strong team and interpersonal skills. An outgoing people person who is keen to broaden theirs and the company’s professional network.
  • Computer literate including Word, Excel, PowerPoint, and ideally Adobe Indesign and Photoshop to assist with company and director promotional content, and company pitch decks.
  • Experience in InDesign and editing software, GIF creation and image sourcing to aid the internal creative team.
  • Proficient use of social media and online platforms as a source of research, engagement, and company promotional activity.
  • Love of film, music, and art
